Your systems don’t talk.We link them.Systems integration for small and mid-sized businesses. Keep your software, enter each record once, and every system stays in sync.

What gets fixedYour people stop being the connection between your systems.

A customer is typed into your sales system when they buy. They are typed again into scheduling when the work is booked, and a third time into accounting when the invoice goes out. Every copy is a chance for a wrong digit, and every hand-off waits until someone has the time.

We connect your systems so each record is entered once and every system that needs it has it. Here is what that fixes, and what each fix frees.

  1. The same record, typed twice

    Today
Your office manager re-keys every finished job into accounting before an invoice can go out.
    Connected
Closing the job creates the invoice. The customer, the line items and the total arrive exactly as they were entered in the field.
    What it frees
Invoices leave the day the work is done, and the hours spent re-keying go back into the business.
  2. One customer, three versions

    Today
Sales, service and finance each keep their own copy of the customer. The address is current in one and two years old in another, and nobody is sure which.
    Connected
We match the copies, join them under one customer record and keep them joined. Change the address once and it changes everywhere.
    What it frees
Every team works from the same customer, and every report you build later starts from records that agree.
  3. The work and the books disagree

    Today
Scheduling says the job is finished. Accounting has no invoice for it. You find the gap at month end, or you never find it.
    Connected
Every day, finished work is compared with what was billed and what was paid. Each gap is flagged with where it came from.
    What it frees
The work you did gets billed, and month end closes faster because the differences were settled as they happened.
  4. The system that “can’t” be connected

    Today
A vendor portal, an older database or an industry tool offers no way in. So someone downloads a file every morning, or copies from one screen into another.
    Connected
Almost every system has a way in: a scheduled export, a report it already produces, or its own screens, worked by an AI agent the way a person would work them. We find the one that holds up and build on it.
    What it frees
The morning download disappears, and so does the bill for one-off workarounds.
  5. A second location, or a company you bought

    Today
The new operation runs different software. Seeing the whole business means merging spreadsheets by hand every month.
    Connected
Each operation keeps running what it runs. We connect them underneath, so customers, work and money roll up into one view.
    What it frees
You see the whole business in one place, and the next location joins without a new reconciliation job.

Close these gaps and the same team carries more work. Invoices leave sooner, so cash arrives sooner. Your numbers agree, so you can trust them when you decide. And whatever you build next, an automated workflow, a dashboard, an AI agent, starts from records that are already right.

How it runsConnected systems keep themselves in step, and tell you when they need you.

Each connection knows which record matches which, what to do when two systems disagree, and who to tell. Follow one morning of invoices to see it work.

Example drawing beside the steps: three screens, a CRM, scheduling and accounting, joined by one connection. Job 4471 crosses from scheduling to accounting and lands matched. Two spellings of Brightway Dental Group are matched at 97 percent; a doubtful pair waits in a tray for a person. Invoice 4472 stops between scheduling and accounting, 1,240.00 against 1,204.00, the swapped digits ringed. A failed transfer is retried and the owner is told. An agent travels the connection, stops at 4472 and traces it to the mistyped field.

  1. A record changes, and every system that needs it gets it.

Job 4471 is closed in scheduling. Its invoice appears in accounting with the same customer, the same lines and the same total. Fixed rules do this: the same input gives the same result every time, at any hour. Where your software already offers a connection for the job, we set it up properly. Where it doesn’t, we build one.

  2. Where records don’t line up, AI does the matching.

One system says “Brightway Dental Group”. Another says “Brightway Dntl Grp”. A supplier’s bill arrives as a PDF. A fixed rule cannot settle those. AI reads them, matches them and says how confident it is in each match. The confident ones go through. The doubtful ones wait for a person, with the reason beside them.

  3. When two systems disagree, the record stops and shows you both.

Invoice 4472 is 1,240.00 in scheduling and 1,204.00 in accounting. Someone swapped two digits. The record does not go through on a guess. It waits, both values side by side, until the person you chose decides which is right.

  4. When something breaks, you hear straight away.

A transfer that fails is tried again. If a vendor changes their software and a connection stops, the person who owns it on your side is told what stopped and why. Nothing sits unnoticed until month end.

  5. An agent can keep watch over all of it.

An agent is AI software that is given a goal and works out the steps itself, inside limits you set. This one compares your systems every day, traces each mismatch to its cause and prepares the fix. You decide which fixes it makes alone and which wait for a yes.

  6. Most integrations mix all of these.

Rules where the answer is certain, AI where the records are messy, an agent on watch. How much runs unattended is set with you, around what a wrong record would cost your business.

The first look at your own systems is free.

What you holdYou hold the map of your systems, so you can change any of them and keep every record.

In most businesses the records sit inside the software and the way it all connects lives in one person’s head. So companies stay on software they have outgrown, and the know-how walks out when that person leaves.

Every integration we build comes with that know-how written down in plain language: how work moved before, and how it moves now, connection by connection, with what crosses, when, the rule it follows and who decides when a record stops. Your leaders use it to train new people, bring a new location onto the same pattern and show a lender or a buyer how the operation runs.

When a system no longer fits, the map makes the move a counted job. The new one is built and tested beside the old while your team keeps working, every record is counted out and counted in, and each connection is pointed at the new system.

We hand it over working, train your people and watch it for sixty days. You own all of it, including the code.

What we’ve builtWe have connected systems in a 48-hour build, across a Fortune 250 enterprise, and in our own company.

Report Case software CaseFieldsCalendarDocumentsCorrespondence Run twice · updated, not doubled

Keeps systems in step

A legal intake connected to case-management software in 48 hours

One scanned accident report goes in, and five connections carry it into the case software a law firm runs on: the case record, its custom fields, the attorney’s calendar, the documents and the client correspondence. The vendor’s documentation stopped short in five places, so we found out how the software really behaves and built to that. Run the same report twice and the case is updated, never duplicated. If one step fails, the others finish and the run reports exactly what did not.

One record · a platform move

One client record from five systems, at a Fortune 250 company

Client data sat in five systems, and one analyst needed two weeks to pull it together. Our founder built the live client view that replaced that work and became the base for the company’s pricing and risk systems. When service later moved to a new platform, the mapped data and written workflows carried the work straight across.

One database CRM Alert Report Market 1Market 2

One record for the whole business

Our own company, run from one record

One database holds every lead, every pipeline and every piece of research in our business. Our CRM, our alerts and our reports are all fed from it. We run lead pipelines in separate markets on the same connections, and the second market went live within weeks of the first because about half of what it needed was already built.

How we work, on an integrationWe put a number on the gaps before we connect anything.

Your team shows us every place a record is typed a second time, and we time it: the hours spent re-keying, the records that disagree, the days between a finished job and its invoice. Those numbers become the result we agree with you.

In the Proof Sprint, the first connection runs on your real records beside your team’s usual work, and you check its output against theirs, record for record.

Questions aboutsystems integration

  • Do we have to replace the software we already pay for?

No. We start from what you run and connect it. If the diagnosis shows a tool is holding you back, we show you what a change would cost and what it would return, and you decide.

  • Our vendor says there is no API. Can you still connect it?

Almost always. An API is the door a piece of software leaves open for other software. Where there is no door, we use a scheduled export, a report the system already produces, or its own screens. In the Proof Sprint we test the way in before anything depends on it.

  • We already use a connector tool between some of our apps. Why build more?

Keep it where it does the job. Off-the-shelf connectors pass simple records one way. We build what they leave to your staff: the fields they skip, the records they cannot match, and the check that both sides still agree.

  • What happens when a vendor updates their software and a connection stops?

The connection reports it straight away, and no record goes through half right. During the sixty-day watch we fix it. Every connection is documented, so the fix is a change to one rule and your record shows which. After that we can stay on watch, or your own people can run it from the record.

  • Can you connect an AI agent to our systems?

Yes. An agent is only as useful as what it can reach. We connect it to your systems with the access and the limits you choose, so it works from your real records.

  • Is our data safe while it moves?

Each connection is given access to only the records its job needs. Every transfer is logged, so you can see what moved, when and where.
